Service account


Set a service account without needing global admin rights, streamlining user management and boosting security.


This section describes how to create a service user in the Admin center, assign the specified license and finally allow it to manage all the invites going through the External User Manager.


Creating the service account.

Navigate to the admin center: https://admin.microsoft.com/

As the new tab opens for the Admin center. From the left navigation bar press Users and as the bar collapses, choose Active users.



Press ‘Add a user’. This will allow to create an account which will act as a user specifically and only for the External User Manager’s invites.


The following fields are to be filled in:

First name: Service
Last name: Account
Display name: Service account
Username: serviceaccount@(domain)
Password setting is up to necessities.

Assigning license


The license can be assigned while creating the user. It can also be set after the creation. 
The license required for the user is: Office 365 E3 license.


After assigning the license, the service user setup can be completed.


Setting up the created Service Account in the External User Manager.

Navigate to the External User Manager and access it’s settings.


In the settings, from the left navigation bar, choose Setup.

Inside the setup, ‘Service account’ is displayed with the ‘Change account’ button.


After pressing the ‘Change account’ make sure to assign the already created and the specified license Service account.


NOTE: The service account, from now on, will manage all the invitations in the External User Manager. After an approver approves any guest requests, the service account will be added to the specified team as the team owner. However, this will only occur for a few minutes in sequence. Of course, after the guest gets added to the team, the service account will be automatically removed from the team, (only if the service account was the team owner from the beginning, it will remain as the team owner).



This completes the functionality of the ‘Service Account’ in the External User Manager.
